OFFICE ASSISTANT – BLANTYRE OFFICE

1.0    Background Information

National Organisation of Nurses and Midwives of Malawi (NONM) is an independent, non-partisan, non-governmental union and professional organization representing nurses and midwives of Malawi. NONM’s vision is to have a strong, vibrant, and visionary organisation that will result in a motivated and empowered nurse/midwife. Its mission is to promote and maintain members’ professional interests and socio-economic welfare to effectively contribute to quality healthcare services rendered to the nation.

A vacancy has arisen for the position of Office Assistant in the National Organisation of Nurses and Midwives of Malawi (NONM) Blantyre Office. The Organisation therefore invites applications from interested candidates for contract duration of one year subject to renewal.

2.0    The Position

The Office Assistant shall report directly to the South West Zone Chairperson on any matter involving his office and be answerable to the Executive Director;

3.0    Personal Specifications & Qualifications

The ideal candidate should fulfill the following:

  • Aged between 25 to  35 years
  • Be a holder of a Malawi School Certificate of Education (MSCE) obtained from an recognized training institution;
  • Be computer literate
  • Have a great attitude and strong work ethics
  • Be capable and confident on the Job
  • Able to work under minimum supervision
  • Book keeping and Accounts will be an advantage

4.0    Duties    

  • Recruit members into the Organisation within Blantyre;
  • Carry out day to day activities/duties of the Blantyre NONM Office in liaison with South West Zone Chairperson;
  • Promote  fundraising activities that will increase revenue for the  organisation;
  • Have a thorough understanding of the basic office operating systems;
  • Answer telephones and attend to tasks that require effective communication and service members /customer;
  • Creating and maintaining a filing system; locating documents for members; and filing documents in their corresponding location;
  • Handling incoming and outgoing emails/ messages.
  • Distributing correspondence to the appropriate offices and   members;
  • Operate fax machines, phone systems and other office equipment.
  • Write and Submit Monthly reports to South West Zone Chairperson and or Project Manager (HQs)
  • Receive cash/cheques on behalf of NONM
  • Do banking and provide financial reports of the office
